Terms and Conditions

1. Who can play

Everyone can play in our rooms – there’s no age limit. Persons under 12 should be accompanied by an adult guardian who takes responsibility for them. You can additionally hire a children’s animator for 50 PLN per hour.

2. Booking and cancellation

You can cancel your reservation free of charge up to 24 hours before the scheduled game. After that – unfortunately, the payment is non-refundable. Being more than 15 minutes late without contacting us means your reservation will be cancelled.

3. Sobriety required

We play sober. We reserve the right to refuse entry to anyone under the influence of alcohol or other intoxicants – without a refund. Smoking and drinking alcohol in the rooms is prohibited. We know an escape room is a great idea for a bachelor or bachelorette party – but we recommend starting the party after the game, not before.

4. Respect – for the rooms, our staff and other guests

Puzzles require wit, not force. If something won’t open, don’t yank it – you probably need a different code or a hint. Players are financially responsible for damage caused by excessive force or intentional actions. Of course – if something breaks due to wear and tear or a technical malfunction, that’s on us. We also ask for good manners toward our staff and other guests – vulgar or aggressive behaviour spoils the fun for everyone, so in extreme cases we reserve the right to end the game without a refund.

5. Safety

The rooms are monitored (video and audio) – this is for your safety, and recordings are not shared with third parties. The door to the first room stays open at all times, and you can leave the game room at any moment.

6. Phones, photos, and spoilers

During the game, please don’t use your phones – not out of spite, but because you won’t have time for that anyway. Recording and photographing the room interiors is prohibited. Afterwards, we’ll happily take a souvenir photo for you in a designated spot! And then we ask: please don’t spoil it for others. Let them enjoy solving the puzzles too.

7. Personal belongings

Personal belongings can be left in a designated area, but we are not responsible for them.

8. Personal data and monitoring

The game is monitored. We process players’ personal data in accordance with GDPR.

9. Gift vouchers

A voucher is a gift card of a set value that can be used to pay for a game at our escape room at Ząbkowska 18/LU1.
The voucher is valid for 12 months from the purchase – the expiry date is printed on the voucher.
To redeem it, book a game as usual and show the voucher or provide its code on site.
If the game costs more than the voucher, you can pay the difference on site. If it costs less – the rest stays on the voucher as a balance to use within its validity period.
You can use the voucher over several visits, until the amount runs out. You can also pass it on to another person.
Neither the voucher nor its balance can be exchanged for cash.
If you bought the voucher online, you have 14 days to withdraw from the contract without giving a reason – provided the voucher has not been used in that time, in whole or in part. Just email kontakt@keyword-escape.pl, e.g.: “I withdraw from the contract for gift voucher no. …, concluded on …. Name: …, e-mail used for the order: …, bank account for the refund: …”. We will refund the payment the same way it was made, within 14 days at the latest.
Using the voucher before those 14 days have passed constitutes an express request to begin the service before the withdrawal period expires – once the game has been played, the right of withdrawal expires, of which we inform you here and at checkout.

10. Final provisions

Matters not covered by these terms and conditions shall be governed by the provisions of the Polish Civil Code. We reserve the right to amend these terms. Entering the room constitutes acceptance of the above rules.

Privacy Policy

1. Data controller

The controller of your personal data is Keyword, registered at ul. Ząbkowska 18/LU1, 03-735 Warsaw, Poland, Tax ID (NIP): 1133193180, email: kontakt@keyword-escape.pl.

2. What data we collect and why

We only collect what we need to serve you well.

Booking: first name, email address, phone number – so we can confirm your reservation, send reminders, and contact you in case of changes.

Video surveillance: the game rooms are equipped with video and audio monitoring to ensure participants’ safety.

Email correspondence: first name, email address, message content – so we can answer your questions.

Website cookies: we use cookies for technical purposes (to keep the site running) and analytical purposes (to know how many people visit it).

3. Legal basis

Performance of a contract (Art. 6(1)(b) GDPR) – when you book a game, we process your data to deliver the service.

Legitimate interest of the controller (Art. 6(1)(f) GDPR) – monitoring for security purposes, pursuing potential claims.

Consent (Art. 6(1)(a) GDPR) – if you subscribe to our newsletter or consent to marketing.

4. Who we share data with

No one you don’t need. Your data may only be shared with:

IT service providers (hosting, booking system),
accounting service providers,
government authorities, if required by law.

We do not sell your data. We do not transfer it outside the European Economic Area, unless we use tools (e.g., Google Analytics) that may process data on servers in the USA – in which case this is done based on appropriate safeguards (standard contractual clauses).

5. How long we keep data

Booking data: for the duration of the service + 30 days for potential complaints and claims.

Contact form data: until the correspondence is concluded, up to a maximum of 12 months.

Marketing data (newsletter): until consent is withdrawn.

6. Your rights

You have the right to: access your data, rectify it, erase it, restrict processing, data portability, and object to processing. If we process data based on consent – you can withdraw it at any time. You also have the right to file a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw).

7. Policy changes

We reserve the right to update this Privacy Policy. We will inform you of significant changes on our website.
